TERMS AND CONDITIONS
- Contract
There shall be no binding contract between the Company and the Client until the following three conditions are met:
1°. The Company Booking Form has been signed
2°. The 25% deposit has been paid
3°. The booking terms and conditions have been confirmed by the Client
- How to book
Reservations: Should be made well in advance as lodges are limited in size, and some sell out. To assure your first choice of accommodation, early reservation is advised.
Deposit: A non-refundable deposit equal to 25%* of your total tour cost is required to guarantee your reservation. If departure date is within 60 days, full payment is required to book your space.
Final Payment: Full payment is due 60 days prior to departure.
*Please note, deposit and final amount may vary by itinerary.
- Cancellation Charges
Any cancellation of a booking by a Client or Agent, must be in writing and shall only be effective upon its acknowledged receipt by the Company. The date on which the Company receives the correspondence, or a company recognized Agent, will determine the cancellation charge, if any.
- a) 5% of total tour cost is forfeited for cancellation made 61 days or more before departure.**
- b) 30% of total tour cost is forfeited for cancellations made between 65 and 30 days before departure. **
- c) 50% of total tour cost is forfeited for cancellations made 29 or fewer days before departure.
**Cancellation charges for Safari Vacation Packages may vary by program.

In some instances, lost and/or unused airline tickets are not refundable or replaceable. Kwafrika Travel reserves the sole right to not accept a reservation or to cancel a reservation and impose cancellation charges if any payment is not received within the above specified periods. Kwafrika Travel will not be responsible for lost land and air reservations. We recommend you purchase travel insurance, such as our Travel Protection Plan. We make no representation or guarantee concerning reimbursement, scope of coverage, or other aspect of any insurance policy or claim.
- Changes and Alterations by the company
4.1. “Force Majeure” means, in relation to the Company, any circumstances beyond the reasonable control of the Company (including, but not limited to, acts of God, explosion, flood, fire, war or threat of war, sabotage, civil disturbance, quarantine, government intervention, weather conditions or other unexpected occurrences).
4.2. The Company shall not be deemed to be in breach of these terms and conditions or otherwise be liable to the Client, by reason of delay in performance, or by non-performance, of any of its obligations hereunder to the extent that any such delay or non-performance is due to any Force Majeure.
4.3. If the Company is affected by Force Majeure it shall be entitled to, and may in its sole and absolute discretion, vary or cancel any itinerary or arrangement in relation to the tour or safari.
4.4. No refunds are given for circumstances arising beyond the Company’s control, necessitating alternative arrangements being made to ensure the safety and/or further participation and enjoyment of the tour or safari.
4.5. In the unlikely event of a vehicle breakdown that is beyond the Company’s control and immediate repair, the Company will arrange to have the spare part sent to the current location in the fastest possible time. The Company reserves the right to alter the itinerary accordingly in order to make up any time lost due to any unforeseen circumstances.
4.6. The company reserves the right to cancel the tour without prior notification and in such an event only agrees to refund all monies already paid and received from the Client.
- Changes and alterations by the customer
You can change your trip (date, route, etc) against the additional cost of $ 100, – administration fee plus any additional costs relating on the trip. Changes within 60 days before departure are subject to the cancellation policy as previously mentioned plus any communications and other expenses. All changes are effective only after written confirmation of Kwafrika travel.
Kwafrika Travel also mediates accommodation and after a travel. Cancellation of airport transfers and accommodation are equal to 1 night accommodation with 7 days prior to our passed. You have no right to a refund if a transfer or hotel accommodation within 7 days before being canceled.
- Risks
The client accepts that all tours have an adventurous nature and a element of personal risk contain. Neither Kwafrika Travel or any of its partners will be held responsible in any way whatsoever for any injury, death or property damage, in any way whatsoever occur. The customer agrees and proposes Kwafrika Travel and its partners not be liable for such claims. The customer accepts full responsibility for all risks during travel.
Kwafrika Travel and its partners carry out all reasonable checks to ensure that those involved in the preparation and implementation of holiday adhere to the proper standards. The descriptions, information and advice in the description of your journey in good faith, based on the latest information available at the time of publishing.
- Health
It is important to know in advance whether your vaccinations and malaria need. Always consult your doctor or local health authorities to this Checking. The client accepts that to participate in a trip a certain level of physical condition and required health and it is the client his / her duty to make ensure that he / she is medically fit to make the trip. Kwafrika Travel and its partners require a doctor’s certificate that a client medical fit, when a customer over 65 years.
- Authority during the trip
The decisions of the guide during the trip will at all times conclusive and binding. The customer shall at all times with the laws, use conditions and customs of the countries to be visited to meet. If the customer does not comply with the above or if the customer is a burden for the rest of the group, then the guide can decide to the respective customer the trip to exclude, without refund of the fare. The customer will own cost to return home.
- Marketing
Kwafrika Travel and its partners reserve the right to any picture or video recording that they themselves make while traveling for marketing purposes or for advertising material and the customer hereby therefore consent to such photographs or video recordings to use. Kwafrika Travel will such materials copyright have. When a customer photos to Kwafrika Travel makes available for her guestbook or gallery, acquires Kwafrika Travel thus entitled to these photos for marketing purposes, as well as on the website.
- Included in Tour Price:
Accommodations: As specified in the itinerary, or similar, will be provided in hotels, lodges and camps, based on two persons sharing a room with private bath or shower. We may substitute hotels, camps, and lodges when we consider necessary or appropriate. Service charges and taxes are included for all accommodations.
Single Accommodations: If available, are at additional cost, as indicated in the programs.
Meals: are provided as specified in each program.
Transfers: between airports, rail stations, motor coach terminals and hotels are provided, when specified. Transfers include up to two pieces of luggage per person. Airlines may be more restrictive as to luggage they allow and you are also subject to their restriction.
Sightseeing: as specified in each itinerary. We try to use the most modern, comfortable transportation available in the locality, with English speaking drivers/guides. There may be seasonal closure of some attractions.
- Not Included in Tour Price:
LAND ONLY prices do not include airfares, costs to obtain passports, visas, inoculations, excess baggage charges, airline seating assignments, all items of a personal nature such as drinks, snacks, laundry, phone calls and cables, Internet, paid TV entertainment, meals not specified in the itinerary, medicines, personal and baggage travel protection plan, and local airport taxes. These are examples of non- included items, and are not an exhaustive list.
Gratuities: Tips to tour guides, waiters, hotel staff, baggage handling and game rangers are not included and are at the tour participant’s discretion unless specifically included in tour price. Prices quoted are based on costs, charges, tariffs, rates, prices, taxes, levies, exchange rates and other considerations at the date of printing this brochure or the date of the price quote.
- Special requests
Dietary wishes have to be passed on at the moment of Kwafrika Travel books. The tour operator will do everything possible to meet these wishes but sometimes this is not feasible.
